Rental Policies

AVAILABILTY & VACATION PROPERTY OCCUPANCY: Minimum stays may apply seasonally and rates are subject to change without notice. Although unit assignments cannot be guaranteed, Key Concepts will use its best efforts to provide you with your unit selection. The vacation homes and condominiums are privately owned and are subject to unavailability beyond management's control. In the event of unforeseen circumstances, management reserves the right to re-assign you to another unit. No unit may be sublet to others, unless prior written approval from management has been obtained, the maximum number of guests per property is limited to the number quoted in your reservation. Any additional persons found in the unit may result in additional charges or termination of your booking.Vacation rentals will be rented to guests 25 years or older and children may not check-in without their parents. House parties are not allowed and guests are encouraged to observe "quiet time" after 10:00 pm. Key Concepts Realty reserves the right to enter the property at any time to investigate any disturbances and/or damages.

 

SECURITY/RESERVATION DEPOSIT: A $200 - $500 reservation deposit is required at the time the reservation is made and becomes a damage deposit at check in. You must "guarantee" your reservation with a credit card number, and mail in the security deposit by check. Reservations less then 2 weeks away will be authorized by the credit card company but will not be processed unless charges for cancellations or damage are incurred.

 

DEPOSIT and PAYMENT: The amount of the deposit will vary depending on the unit. Upon receipt of your deposit and processing fee, we will mail you a confirmation and guest information. Please review the confirmation and contact us immediately if you find any discrepancies.

 

A CREDIT CARD NUMBER IS REQUIRED FOR ALL RESERVATIONS

Payments can be made by Visa, MasterCard, or Travelers Checks at check in currently, you may pre-pay rent up to 2 weeks before your arrival by check.

 

CANCELLATION: If you cancel more than 45 days prior to your arrival date, you will only be charged a cancellation fee of $150.00. Cancellations made within 45 days of check in will result in forfeiture of the entire deposit. "No shows" and “No Calls” will be charged the full amount of the reservation (rent, tax, fees etc.). Should circumstances so require, guest hereby authorizes Key Concepts to deduct the applicable charges from your credit card, the number of which is on file.

 

CHECK IN:

Check in time: Monday through Saturday is between 3:00 - 5:00 p.m. at the Key Concepts Office located at 13880 Perdido Key Drive.

Arrivals after 5:00 P.M. or on Sundays must make advanced arrangements for check in. You must call us on the day of (or Saturday for Sunday arrivals) your arrival to make these arrangements. During peak summer periods, check-in may be delayed due to the increased number of rentals and the timeliness of the housekeeping staff.

 

CHECK OUT: Check out time is 10:00 A.M. We must have time to prepare the unit for the next guests.

Failure to vacate by 10:00 A.M. will result in a charge for an additional day.

DO NOT LEAVE THE KEYS IN THE UNIT.

Please return the keys to our office at the front desk or our drop box on the front porch. Before checking-out, please be sure that all dishes have been washed and put away, laundry has been started,  trash has been removed from the unit and placed in the appropriate receptacles, the furniture has not been repositioned and the unit is in good, clean condition. The cleaning crew will wash the remaining linens, make the beds, dust, mop, vacuum and clean the bathrooms.

Any additional cleaning that is required due to the condition of the unit, or replacement of damaged or missing linens will be charged to the tenant. Prior to leaving the unit, Please be sure all doors and windows are closed and the air conditioner is set on 78 (summer) and 68 (winter).

PHONE CHARGES: Most of our units do not have phones. You will need to bring a cell phone or have other arrangements in place. All units do have internet and wifi.

 

UNITS FOR SALE: In the event that the unit you are renting is listed for sale, we may be presented with the need to show the property during your visit. We will make every effort to schedule the showing at a convenient time.

 

PARKING: A maximum of 2 cars per vacation property are allowed. In some cases, only one car is permitted. Upon check in, Key Concepts will provide you with the required parking passes. No boat or RV parking is permitted unless prior notice and arrangements have been made with management.

 

KEYS & LOCKOUT: Two keys will be issued upon check in and must be returned to our office at check out. A $20.00 fee will be charged for each key/tag not returned. In the event you are locked out of your unit after hours, if a Key Concepts staff member is available to open your unit, a minimum of $25.00 will be due at that time. In the event a staff member is not available to assist you, you may contact "A Locksmith" at 850-221-1125 and pay them for whatever charges you incur.

 

TOWELS & SUPPLIES: Towels for beach and pool use are not furnished. Please bring your own beach towels. Each unit is furnished with one roll of toilet paper and one bar of hand soap in each bathroom, a trash bag in each receptacle, one each dish washer soap and laundry soap, and one roll of paper towels.

You may wish to bring extra paper products or purchase them upon arrival.

 

FURNISHINGS/EQUIPMENT/MAINTENENACE: The vacation homes and condos are privately owned and you are a guest in the property owner's home. Please respect their furnishings and belongings. Owners and the staff at Key Concepts strive to maintain the rental properties in good repair. However, in the event of a malfunction of equipment such as TVs, VCRs, air conditioning, elevators, etc., repairmen may enter the premises during normal working hours for the purpose of repair. No refunds or rate adjustments will be made for mechanical failures. Please alert the office of any situations that arise. We cannot fix an issue if we do not know about it.

 

PETS: Pets are not allowed in most units. Units that allow pets require a non-refundable pet fee and a description of the pet (breed, weight, etc). If pets are found in your unit without prior approval, your account is subject to additional charges and you may be asked to vacate, and no refunds will be issued. Florida law prohibits dogs on the beach and a $500.00 fine can be imposed.

 

INCLEMENT WEATHER: Refunds will not be made for inclement weather unless a mandatory evacuation by civil authorities is issued. In that case, we will reschedule your vacation to a more convenient time and offer up to a 10% discount or refund pro-rated paid rents.

 

GRILLS: Fire department regulations prohibit the use of grills on all decks, porches, and balconies. Some complexes have common area grills for the use of guests. Please check on the availability of such grills prior to your arrival to ensure that your needs will be met.

 

LOST & FOUND: Key Concepts Realty, Inc. is not responsible for any items you leave in a unit. Upon departure, in the event you inadvertently leave items in the unit and want the items to be sent back to you, a $20.00 service charge plus shipping costs will be assessed to your account. Any items not claimed after 10 days will be considered abandoned.

 

INDEMNITY: Key Concepts Realty is not liable for vandalism, theft or any damages to guest's property, damage to rental property or furnishings, nor any injuries resulting from any accident that may occur in or on the premises during the guest's occupancy.

 

COMPLIANCE WITH RESORT RENTAL POLICIES: By checking into the unit, the guest hereby agrees to comply with the rental policies stated herein, and any rules or regulations posted on or about the rental property. Violations are subject to eviction and forfeiture of all payments. Any reservation made under false pretenses will result in eviction and the forfeiture of payments.
